Facility Use Policy

First and foremost the facilities and properties are for the spiritual and communal use of  the Tahoma Unitarian Universalist Congregation, affiliated and Covenant groups, Pacific Northwest District and the UUA in fulfillment of their missions.  These uses are to be encouraged and developed.

The TUUC church building will be available for members of at least one year, as well as non-members, for rental, provided that use is consistent with Unitarian principles and TUUC’s mission. TUUC retains full authority to allow or deny the rental of the church at its discretion. It is in the interest of TUUC and consistent with its beliefs that members are able to rent the facility for meetings, events, or special services and that the community is able to do so also.

Priorities - Preference for use of the church facilities will be in this order:

  1. Church services and functions offered for attendance by the entire congregation.  Church sponsored events such as concerts, other artistic performances, rummage sales, and auctions are considered to fall in this category.
  2. Meetings of the board of trustees and board-appointed committees.
  3. Services, functions, and meetings held by special interest groups within the congregation.
  4. Services, functions, and meetings held by TUUC-sanctioned or UUA-affiliated groups.
  5. Weddings, memorials and special services performed by the TUUC minister.
  6. Private functions held by individual TUUC members.
  7. Outside non-profit groups who have approved contracts for periodic use.  This includes other churches wishing to use our building.
  8. Outside non-profit groups who have approved contracts for one-time use.

Non-profit organizations are charged a fee unless a church committee sponsors them.  This is in keeping with the goal of spreading Unitarian values and fostering a greater sense of community.  Additional fees are charged as needed for a sexton/sound technician and custodial services if food is served.

The building is not available for rental to unqualified organizations or individuals for monetary gain, regardless of whether a fee is charged. A qualified organization is one that would qualify for property tax exemption if it owned the property and used it for an exempt purpose. These organizations include, but are not limited to, schools, churches, cemeteries, hospitals, social service agencies, character building organizations, nursing homes, homes for the aging, and museums, typically ones exempt from federal tax under Section 501 (c) (3), (4), or (10) of the federal internal revenue code.

1. The “Facility Use Agreement” must be fully completed and approved 7 days prior to any rental. This form can be obtained from the Church Administrator, who also manages the scheduling of all events held at TUUC.  You may download the "Facility Use Agreement" by clicking here.

 2. All required deposits & fees must be paid in full, to the Church Administrator, at least 7 days prior to the event being held. Church office hours are 9am - 12noon, M-Th.

 3. In the event of two individuals requesting the same date/time for an event, the TUUC member in good standing will be granted the request if the other requestor is not from TUUC. If two TUUC members in good standing ask for the same date/time and cannot resolved the conflict, the President &/or Minister will have the authority to make the final decision about which request will be granted.

 4. Members in good standing will pay a suggested donation of 50% of the rates listed on the “Facility Use Agreement.” There will be no fee required for the use of the sanctuary for a Funeral or Memorial Service for a member in good  standing or their immediate family member.

 5. In the event that a  non-profit organization requests that any fee be waived, the President or the Minister will have the authority to make the final decision to grant or deny such a request.

APPENDIX A: KITCHEN USE POLICY TUUC GROUPS

All individuals and groups using the kitchen are subject to these guidelines.

The TUUC Kitchen is not a food preparation facility.  Food may be re-heated, served,arranged, etc., but must be prepared prior to being brought to the premises.

A.   "There is a place for everything and everything goes in its place!”

1      Always wash and dry dirty dishes, pots, utensils, etc.

2.     Return washed items to their proper place.

3.     Return any other items used (i.e. foil, staples etc.) to their proper place.

B.   A sign out sheet will remain in the kitchen at all times.

1.    When it is necessary to borrow kitchen equipment (i.e. coffee pot, knife, bowl, etc.) sign name or group, item, date borrowed and returned.

2.  Large items such as punch bowls or glass plates to be used off church grounds must be checked out with the Church Administrator.

C.    Refrigerator/Freezer space must be kept tidy.

1.    Groups leaving items in the refrigerator or freezer must label and date all items.

2.    Items will discarded as necessary.

D.    Follow guidelines and instructions posted in the kitchen for operation of stove, or other appliances and for general cleanup.

E.    Person in charge must have received instruction in the use of all requested appliances. THIS INDIVIDUAL MUST BE IN ATTENDANCE WHILE KITCHEN IS IN USE.

 

APPENDIX A2: KITCHEN USE POLICY 

NON-TUUC GROUPS

All individuals and groups using the kitchen are subject to these guidelines.  A custodial fee of  $20.00 per hour will be charged when necessary due to non-compliance.

The TUUC Kitchen is not a food preparation facility. Food may be re-heated, served,arranged, etc., but must be prepared prior to being brought to the premises.

A.         "There is a place for everything and everything goes in its place!

1.    Always wash and dry dirty dishes, pots, utensils, etc.

2.    Return washed items to their proper place.

3.    Return any other items used (i.e. foil, staples etc.) to their proper place.

4.   Remove all non-TUUC equipment, appliances, dishes, etc. immediately after the function.

B.    Refrigerator/Freezer space must be kept tidy.

1.    No food or beverages may be stored in the refrigerator longer than one day prior to the event at which they will be consumed. Groups leaving items in the refrigerator or freezer must label and date all items.

1.    No food or beverages may be left in the refrigerator or freezer after the scheduled event. Items will discarded as necessary.

C.    Follow guidelines and instructions posted in the kitchen for operation of stove, or other appliances and for general cleanup.

D.                Person in charge must have received instruction in the use of all requested appliances. THIS INDIVIDUAL MUST BE IN ATTENDANCE WHILE KITCHEN IS IN USE.
