Program Council Meeting Notes 5/9/09

Present: Eric Wuersten, Virginia Lane, Jan Karroll, Heather Lynn Hanson, Betsy Robinson, Steven Garrett, Doug Schafer, Susie Maharry, Laura Karlin, Susan Kunkel, Mark Backus

 

Introductory remarks

  • Eric reminded us to speak honestly, to listen to understand, and to give everyone a voice.
  • Acceptance of minutes from 4/11/09: http://tuuc-wa.org/index.php/governance/program-council, with the following corrections: there is a proposal to track attendance using nametags. It was not the case that a formal process involving specific people had been adopted at the time of the meeting.

 

Next Meeting Date: Saturday, June 20th, from 9 – 11am. July off.

 

Items for June Agenda:

  • How to increase efficiency of meeting, decrease redundancy and repetition.
  • Status of safety committee
  • Report from the Electronic Communications task force.
  • Results of June 7th Just Peacemaking workshop

 

Membership and Ministry

Facilitator Workshop was well attended and well received. Presenters debriefed about what went well and what can be improved next time. We have already had requests to have another one. Plans for a possible workshop in the fall are in the works.

We talked about Congregational and Societal Service at our monthly meeting. Members are excited about giving to their level of the group. The deep listening that happens in the group is an example of personal and interpersonal peacemaking. The Social Action Support Group is going to volunteer for the Kauffman Annual Summer Picnic. The All Ages Women’s Group is going to host a "Wine, Women and Words" open house in the fall to celebrate and spawn a new women's group.

Two new geography based women's groups had their first meetings in April and both were very successful. Women West of the Bridge and East Pierce County Women's Group.

 

Heather Lynn and Susie are planning to start Chalice Circles, perhaps in August. These will be close-ended (Sept. - June), start with 6 members, add new members throughout the year up to 10, meet 2 times per month (3rd Principle groups). Heather Lynn plans to train the leaders.

 

Discussion of possibility of the Covenant Group Ministry 2010 3-year Planning and Stewardship worksheet including a suggestion to hire a part-time social action coordinator or intern.

 

 

Membership Committee: discussion of providing child care at private homes. The BOT asks that the host or other participants take responsibility for the hiring and management of child-care workers for these events, although they may submit a request for reimbursement of the cost if it is a sanctioned church function.

Signups at Church May 10 & 17 for May 23rd Circle dinners.

As described in the May Dialog newsletter, these dinners are arranged by signing up for small groups as Host or Guest. Please see Glenda Hammond after the May 10 or 17 Sunday service, or give her a call at 253-531-7742 to sign up.

 

Sunday Coffee Service: Concern expressed about difficulty in getting people to sign up to serve coffee, possibly because of expectations about bringing food. There was a discussion of possibility of paying someone to serve coffee on Sunday mornings. Mark will check with Joan Benderson to see if there is a problem.

 

Social Justice

  • How to support the 5th Stone Group and Jim Anderson at the Hospitality Kitchen.
  • Peace-making: Apr 26th introduction as part of the service. People will have paper copies with links. May 3rd will be a sermon with an activity and opportunity for feedback. June 1st will be a workshop. Kudos to the Library Committee for a bibliography of peace.
  • Program Council supports having a route provided for absentee contribution to endorse/or not the UUA Statement of Conscience in conjunction with a TUUC Peacemaking program.

 

Worship and Celebration

  • Discussion of safety during church activities, especially the worship service. Overlap with Safety Committee. Possibility of having an “UUber UUsher” to watch the door during the service. Virginia and Steven plan to review the functions and people on these committees.

Business and Communications

  • Electronic communications task force will meet soon, with a report to follow.
  • Doug asks reps to ask leaders to submit content for the web.

 

Religious Exploration

  • Susie is taking ideas for Adult Spiritual Development for the summer and fall. Working with Just Peacemaking group for some sessions and series: Karin Van Vlack and Jim Anderson have offerings, as does Lori Fernholz-Hartman.

 

Property

  • Tim Batten will continue on the Safety Committee
  • Discussion of who has church keys. Should the locks be changed?
  • Design and Décor: committee chair Rene Stevens resigned and this committee is need of a chair. Susan Kunkel said that she knows someone who may want to fill this position.
  • Facilities Access Committee has been formed: Chris Martin, Susan Dye, and Wilbur Wilson. Hand rails for both sides of the stairs to the chancel are recommended.
  • Interest in having a projector mounted in the sanctuary with a screen, being worked on by John Hargis, Bob Lane, and Steven Garrett.

 

Budget We ran out of time before having a chance to review budget priorities with Susan Kunkel. The BOT will be looking at possible budget overruns in some areas, partially related to increase in number of members and additional programs. We agreed to trust the Board to make decisions around any necessary cuts.

 

Requests:

  • If possible, email any handouts and attachments to the PC for review before the meetings.
  • Be sure to contact the leaders/chairs in your program area 2 weeks or so before the next PC meeting, asking them if there is anything they would like everyone to know.
  • Send out these minutes to the leaders/chairs in your program area (or direct them to the website) for distribution to participants in their programs.
  • Encourage program chairs to fill out the 3 year stewardship worksheets and send them to Mark.
  • Ask chairs and leaders to submit and update content for the web.
