Program Council Meeting Notes 6/20/09

Meeting was called to order at 9:05 a.m.

Program Area Reports

 

Social Justice


1)  July/August Change for Change - UUSC
2)  Just Peacemaking Survey & June Workshop results provided many suggestions for programming.  These will be further addressed by the Just Peacemaking Team on July 9th.

Also at the July 9th meeting the group will address ways to keep Just Peacemaking moving forward.  And will that be accomplished by continuing a separate JP team with a new chairperson or possibly combine with existing Social Action Committee. 

3)  The UUA Statement of Conscience - Peacemaking initiative will be supported by TUUC delegates to General Assembly in Salt Lake City. Delegates will vote their conscience if there are changes to the wording from the floor of the meeting.

 

Worship

·        Challenges in scheduling content for summer worship

 

Religious Exploration

·        Classes for the fall are being organized not by age or grade but by “cohorts” this allows children to move through the curriculum in groups that stay together until “Coming of Age”.

·        Adult RE has all Wednesdays through the summer scheduled.

·        Looking for additional facilitators for other “spirit” curriculum from the UUA.

 

Facilities

·        Process for design review for cosmetic & structural changes. Use the Design & Décor team to review the changes. Make sure that there is a charge from the BOT to the Design & Decor team for TUUC process that describes their responsibility. Program Council involvement in Design & Décor when changes are requested.

·        Wall space for Native American Art or TUUC banner? Heather Lynn will coordinate the hanging of the banner in the entry hallway.

·        Discussions ongoing on improving the A/V capability in the sanctuary for presentations.

·        Need to install a cover at Orchard Street for celebrations when it’s raining.

·        Cabin—It’s not getting a lot of use and the negative cash-flow impact on the budget is about $1500-2000. There will be an investigation into options for its continued ownership by TUUC.

 

Membership & Ministry

·        Porter Kelley volunteered for the Program Representative for this area to replace Mark.

·        Barb Lutzewitz is now the coordinator for Cares & Concerns.

·        Coffee Hour—Volunteers are wondering about their responsibility for snacks. Need to make sure that they understand their only responsibility is for beverage service. Sometimes, the many snacks that are provided cause a prolonged cleanup for our coffee hour volunteers. What about food for the children, though?

·        Elizabeth Solomon is spearheading an effort to have little cards made for the snacks such as: “includes peanuts” or “low-calorie option”, etc.

·        Chalice Circles planning continues for a start date in the fall.

·        Suggestion for paid staff to assist us with the Just Peacemaking and outreach.

 

Business & Communications

·        Electronic communications task force recommended a separate “Caring & Concerns” weekly email that would not be archived which resolves privacy concerns with the publication of members/friends contact information.

·        How to manage distribution list subscribers? Would Google groups be a better way for single-interest groups to have an email list?

·        Discussion of various TUUC mailing lists, about which Doug Schafer offers the following information:  I do not recall those mailing lists being mentioned in The Dialog (the July edition of The Dialog does not mention them). We currently have mailing lists only for Announce, Social Action, and Board of Trustees.  The other mailing lists were not being used by anybody, so I deleted those months ago.  The website page that lists our mailing lists is http://tuuc-wa.org/mailman/listinfo.  Mailing lists are easy to set up if any committee or other group desires one.

Discussion of Two Services

·        What do parents think about the 2+ hours they will need to be at church if RE is held between services or if they have children in grades K-5 and 6-12?

·        For the RE in between services option—There will be no adult RE in between due to the use of most of the classrooms by the children.

·        There is an assumption that we will return to a single service upon moving in to our new facility.

·        If classrooms are freed up, do we need two services?

·        Would services be similar or different? Sources say that, if services will be recombined at some point, they should remain similar in format. That wouldn’t prevent the services from differing in tone, such as one being more meditative and the other more charismatic/joyful.

·        When would committee meetings be held?

·        To reiterate, the move to two services in not a “done deal”. We will need people’s input. What is it that you value that would be damaged or lost if there was a transition to two services?

 

Efficiency of Meetings


• E-mail information prior to the meeting so it can be looked at beforehand.
• Program Area reports - given every other month or quarterly
• Put program reports on the agenda after the “meat” of the meeting so that the important work we identify gets accomplished.
• If it’s been in the dialog, weekly announcements, or discussed previously, don’t mention it (in other words don’t repeat)
